Understanding this document
What is employee resignation letter ?
A resignation letter is the formal written record that you are leaving, and when. It starts the clock on your notice period and protects both sides: the employee has proof of a clean exit, the employer has a date to plan around. Verbal resignations cause most "but I never resigned" disputes.
When do you need it?
The day you decide to leave — in writing, to your reporting manager and HR. Keep the tone professional even if the exit is not amicable; this letter stays in your file and sometimes follows you to background verification.
Common mistakes to avoid
- Not serving the full notice period — the employer can recover notice pay, and many do.
- Emotional or accusatory language that lives forever in your employment record.
- No mention of handover willingness — the single line that keeps references warm.
- Not keeping an acknowledged copy — always get HR to confirm receipt in writing.
